SubmitIQ (“SubmitIQ,” “we,” “us,” or “our”) provides submission-intake automation software for insurance agencies. This policy explains what information we collect, how we use it, and the choices you have.
1. What we collect
Account and contact information. When you send a submission bundle, sign up, or contact us, we collect your name, email address, phone number, and agency/company name.
Submission documents.To run the free teardown or provide the service, you may send us ACORD applications, loss runs, broker emails, statements of values, and related underwriting documents. These may contain information about your agency’s clients, including business names, addresses, financial figures, and loss history.
Usage data. We collect basic technical data — IP address, browser type, pages visited — to operate and secure the product.
2. How we use it
We use the information you provide to:
- Process submission documents and generate structured, quote-ready records and flags
- Run the free teardown analysis you requested
- Operate, maintain, and improve SubmitIQ
- Communicate with you about your account, the teardown, or the product
- Meet legal and security obligations
3. What we don't do
We do not sell your data or your clients’ data. We do not share submission documents or extracted data with third parties for their own marketing or resale purposes. We do not use your submission documents to train models for any customer other than you.
4. Who can see it
Only the people at SubmitIQ who need access to operate the service, and the infrastructure/AI providers we use to run it (cloud hosting and language-model providers), under contractual confidentiality terms. These providers are not permitted to use your data for their own purposes.
5. Data retention and deletion
We retain submission data for as long as your account is active or as needed to provide the service. You can request deletion of your data at any time by emailing hello@submitiq.co, and we will delete it except where we’re required to retain it by law.
6. Security
We use industry-standard safeguards including field-level encryption at rest, encryption in transit, and access controls. No system is 100% secure, but we treat submission data — which routinely includes sensitive client and financial information — with the same care we’d want for our own.
7. Your choices
You can ask us what data we hold about you, correct it, or delete it, by emailing hello@submitiq.co. If you’re an agency sending us documents on behalf of your clients, you’re responsible for having the right to share that information with us for the purposes described here.
8. Changes to this policy
We may update this policy as the product evolves. We’ll update the date at the top when we do. Material changes will be communicated to active customers by email.
